Rebates and Volume Terms on Protection Board Orders

Rebates and Volume Terms on Protection Board Orders

Volume rebates on protection board are worth asking about and rarely worth much. The savings that actually matter on a programme are elsewhere, and it is worth knowing which is which before spending negotiating time on the wrong thing.

What a volume rebate looks like

Typically a small percentage back at a defined annual volume, or a price break at a threshold quantity. Both are genuine and both are usually a few per cent. On a low-value, bulky product the margin is thin, so there is not a great deal to give – a supplier offering a large rebate is usually quoting a higher base price.

Where the real savings are

Standard sizes of PP honeycomb panel rather than bespoke, which avoids waste premium. Consolidated deliveries, which cut freight on a volume-priced product. And not over-ordering, which is the largest avoidable cost on most protection packages. Those three are worth more than any rebate and they are within the buyer’s control.

How to ask

State the realistic annual volume rather than an aspirational one, and ask what the terms are at that level. A rebate agreed against a volume that is never reached is worthless, and asking for terms on an inflated number produces a quote built on it.

What to check in the terms

Whether the rebate is against invoiced value or volume, when it is paid, and whether it survives a partial year. Also whether it is retrospective or only applies above the threshold – that distinction is worth several per cent in practice.

What to trade for instead

If there is negotiating room, ask for held stock, shorter call-off lead times, or free delivery thresholds. Those are worth more operationally than a small rebate and they cost the supplier less.

What to do instead of chasing a rebate

Ask for a held-stock commitment and an agreed call-off lead time. On a programme where protection is specified late and needed immediately, availability is worth far more than a few per cent, and it costs the supplier less to give. A rebate is cash at the end of the year; held stock is a programme that does not stop.

Where the rebate usually hides

A volume rebate sounds simple until you find it is calculated on list price rather than invoiced price, or that it only pays once a twelve-month threshold is met and the money arrives as credit against next year’s orders. If your programme is eighteen months and the threshold is measured per calendar year, you can miss it twice and collect nothing.

Ask three questions: what the rebate is measured against, when it is paid, and whether it survives a change in resin price. A rebate that is clawed back when raw material costs move is not worth much. The alternative that often beats a rebate is a flat price held for a fixed period on agreed volumes – less glamorous, but you can build it into your tender. Contractors running several jobs at once usually do better on consignment stock for multi-project contractors than on a headline rebate they may never see.

Volume terms you can actually claim

The most useful volume term is not the largest rebate, it is the one with the fewest conditions attached. A flat discount applied at invoice on agreed volumes beats a year-end rebate that depends on a threshold, a payment record and a claim form. If the rebate route is the only one offered, get the measurement basis in writing before the first order – invoiced value, delivered quantity, or area – because these produce different numbers on the same job.

Where the programme spans more than a year, ask for the rebate period to run from first delivery rather than from January, so a job that starts in November is not split across two periods and loses both. This single clause is worth more than a point of discount on most multi-year frameworks.

What we can do

We quote PP honeycomb protection board with volume terms stated clearly, including what the thresholds are and when they apply. Tell us the realistic annual volume and we will set out what is available rather than quoting a headline discount.
