Protection Panels in Events and Exhibition Builds

Protection Panels in Events and Exhibition Builds

Event work has a different economics from construction: build times measured in hours, venue floors that carry substantial damage charges, and a get-out that has to leave nothing behind. Durability over months is irrelevant; speed of installation and cleanliness of removal are everything.

Venue damage charges are the driver

Exhibition halls charge for floor damage, and the tariffs are not modest – marked floor paint or gouged surfaces get billed at repair cost with administration on top. Against that, protection is cheap insurance, and most experienced contractors treat it as a fixed cost of every build rather than an option.

Speed dominates specification

A product that takes half a day longer to install costs more in labour at exhibition rates than it costs to buy. Fewer, larger panels with interlocking edges install faster than many small ones; anything requiring adhesive is usually too slow and too risky on a short build.

Nothing may be left behind

Adhesive residue gets charged. Tape lifting at the edges during the show looks bad and can be a trip issue. Solutions held by weight and geometry, with taped joints on the top surface rather than to the floor, remove the risk entirely and come up faster at get-out.

Repeated use across the season

A contractor working a circuit uses the same material dozens of times a year, so the fleet wears far faster per calendar month than on a construction project. Review panels on a cycle rather than at a blank rule, because the difference between venues – carpet, polished concrete, painted – changes wear substantially.

Fire requirements at venues

Most venues impose their own fire requirements on materials brought in, usually stricter than a construction site would face, and organisers check. Carry documentation for whatever you install, because “it is only temporary” will not be accepted at a venue gate.

Transport between venues

Panels travel constantly, so handling damage often exceeds in-use damage. Stack protections, edge protectors and a vehicle loading plan matter more here than they would on a project where material stays put. We have described equivalent measures for crates in edge protection versus strapping.

Sequencing the get-out

Get-out runs to a deadline with penalties, so protection should come up in an order dictated by the venue rather than by convenience. Start from the exit and work inwards, keeping a clear route for everyone else, and never strip a route that the waste is still using – which is how material ends up dragged over bare floor at the last minute.

Pack as you lift rather than stacking and repacking. Standard panel sizes that stack straight onto the vehicle save the double handling that happens when floor protection is piled and then loaded an hour later by people working to a deadline.

Checking what the venue permits

Venues vary in what they allow on their floors and what documentation they require before material comes through the door. The organiser’s manual usually covers both, and it is worth reading rather than assuming – nothing delays a build faster than rejected material at the loading bay with three hours to opening.

What we can do

We manufacture lightweight PP protection items that can be handled by two people and laid without adhesive. Tell us your typical venue floor types and haulage arrangement and we will size panels to what your vehicle and crew can actually move.

Engineering reusable PP packaging for global industry

Rulowin supplies precision-engineered, reusable PP packaging - honeycomb panels, corrugated sheet, crates, boxes and reels - for automotive, optical fibre, electronics and industrial supply chains.
