How to Accept a Delivery of Boxes

How to Accept a Delivery of Boxes

Most packaging deliveries are accepted on quantity and obvious damage. That is a reasonable check for consumables and a poor one for returnable packaging, where a dimensional problem will be paid for on every trip for years. The useful inspection is short and looks at the things that affect stacking.

What to measure

Outer length, width and height on an assembled box, plus the two diagonals of the mouth. Sample from more than one pallet in the delivery, because a tooling problem usually shows up partway through a run rather than at the start.

What to look at

The fold lines – a fold that has not fully formed leaves the panel proud and changes the outer dimension. The corners, for splits that will open under load. And any print or label, where a barcoded box number has to survive the loop.

How many to check

Enough to see a pattern rather than to prove a statistic. Five assembled boxes from three pallets will tell you more than a rigorous sample of one. Where a delivery is the first of a new tool, check more – the first run is where the problems are.

What to do with a failure

Decide whether it is a tolerance issue or a pattern issue. An oversized box that still fits the pattern is not a problem; one that jams it is, regardless of what the drawing said. Photograph it, measure it, and send both – a dimension without evidence gets argued about.

Keeping the record

Date, delivery reference, measurements, and what was decided. Where a supplier relationship lasts years, the record is what makes the second conversation short. It also shows whether a tolerance problem is a one-off or a trend, which changes the fix.

What belongs in the spec

Maximum outer dimensions, squareness tolerance, measurement condition, and the acceptance sample size. Four lines that turn delivery acceptance from a judgement into a check.

What to do with the results

Record the measurements against the delivery reference and the date. Where a delivery is in tolerance, the record is short. Where it is not, the record is what makes the conversation with the supplier about a measurement rather than about an opinion.

Then decide, in advance, what an out-of-tolerance delivery means: reject, accept with a correction, or accept and adjust the specification. Deciding afterwards is how a small dimensional problem becomes a long commercial one.

The two defects that matter

Dimensional drift, which shows up as layers that will not complete. And squareness error, which shows up as a stack that leans. Both are measurable with a tape in under a minute, and neither is visible on a drawing or in a goods-in photograph.

Everything else – print quality, minor scuffing, colour variation – is either cosmetic or irrelevant to performance, and inspecting for it wastes the attention the two real checks need.

What to do with the results

Record the measurements against the delivery reference and the date. Where a delivery is out of tolerance, the record is what turns the conversation with the supplier into a discussion about a measurement rather than about an opinion. Without it, it becomes a matter of who is believed.

What we can do

We build PP corrugated turnover boxes and state all four on every drawing we issue, so acceptance is a measurement rather than a discussion. Ask us for the spec sheet. Where a check turns into an argument, see how to settle a dimension dispute.
